ASHINGDON YOUTH FOOTBALL CLUB

MANAGERS GUIDE

 CRB Checks

All Managers, Coaches and Club Officials having involvement with youngsters in the Club and any other persons, that the Management Committee may designate from time to time, will be subject of a Criminal Records Bureau Check.

 Qualifications

All managers/coaches must hold at least a valid FA Level 1 coaching badge, a First Aid certificate & a Child Protection certificate. If not, AYFC will pay /arrange for them to take the courses.

The manager/coach is responsible for keeping their certificates in date & for there renewal when due.

 The club will be entitled to be reimbursed by the manager/coach if they leave the club within 12 months of taking a course.

 Correspondence

All correspondence with the Leagues, Essex County Football Association or Referee Secretary must be done by the Club Secretary. League and County rules only allow and recognise the Secretary as the official channel for correspondence. Correspondence other than through the Club Secretary will leave the club open to discipline proceedings.

 Team Representatives

Each Team is required to have a Parent Representative to be the single point of contact for a team for the Social Committee to liaise with about social and fund raising events.

 Meetings

Managers are part of the Management Committee of Ashingdon Youth F.C. and the meetings are normally held every second month on the second Monday of the month at the British Legion, Hockley.

 The Social Committee, comprised of Volunteers from within the club normally meet on the Monday before the Management Meeting and a representative reports to the Management Committee meetings

 The following has been adopted as the Club procedure in relation to meetings:

 a) Managers or a deputy should attend all management meetings.

 b) If the Manager or Deputy cannot attend a meeting the Secretary must be informed.

 c) Parent Representatives or Deputy should attend all their meetings

 d) If a manager or Deputy does not attend 3 consecutive meetings the Management Committee may call the manager before them to explain why.

Fees

Each member on signing on for the Club will pay an annual fee in July when they register to play for the club in the relevant league (except the Under 7 squads who do not play in competitive leagues):

 Under 8, Under 9 and Under 10 squads Mini Soccer       £65 per season

Under 11 to Under 16 squads Full league teams              £80 per season

All Girl team fees will be 50% of the respected age group for the first season then full fee thereafter.

It will be payable in full on registration.

 Where more than one player comes from the same family the following will apply:

 1st player - full fee   2nd player - 80% of full fee and 3rd or more no fee.

Current Fees League £80 80% fee = £64                Mini Soccer £65  80% fee = £52.

The manager has discretion to deal with hardship cases in consultation with the Treasurer who is available to assist with any problems or advice.  Individual cases are not discussed at meetings.

 Kit

A set of kit is an expensive item and like other voluntary organisations Ashingdon Youth F.C. tries to obtain sponsorship to cover the cost of the purchase. Although an individual team may obtain the sponsorship the sponsorship is for the Club as a whole. When the kit is donated by sponsorship it becomes the property of the whole club and not the individual team.

When a team disbands, the kit & any other equipment must be handed back to the club.

Procedure for obtaining sponsorship

 1. Find out the price of the kit including cost of printing sponsor’s details and numbers on shirts.

2. Go to sponsor with total price that sponsorship will cost for the kit.

3. If the sponsor is unable to meet the full cost do not order the kit but raise the matter at a Management meeting so that a decision whether to make up the difference can be made by the Committee.

4. The Club obtains its kit from an agreed supplier SDH Prints and dependant on the sponsors wishes/business arrangements the cost of the sponsored kit can either be paid to Ashingdon Youth F.C. or direct to the suppliers.

5. The club colours are:

                     Home:  Blue & white shirts, Blue  shorts, White socks.

                     Away: Yellow & blue Shirts, blue shorts, Yellow socks.

6.   No other kit colours & no stripes or hoops are acceptable, Disciplinary action may be taken by the committee for teams in default of this rule.

Procedures for matches

 Home Game

 1 Junior Soccer League the procedure for Home games notifications is

  • Monday e-mail the League Referee Secretary and confirm the fixture details (copy in the respective Divisional Secretary),
  • By Tuesday evening notify the Away team's Manager,
  • Wednesday check the League website for Referee appointment and, once known, contact the official to confirm match details.
  • Mini Soccer Matches Game Leader to be provided by AYFC Referee Secretary.

Also inform the opposing Manager that no dogs are allowed anywhere on the playing fields at Cherry Orchard Lane Grounds and ask him to inform any of his parents who normally bring dogs to matches of

 2. A Pitch will be allocated by Brian Brazier who will circulate and display a schedule at the ground in the tea room. If you are first to use the pitch, you put the nets up and if the last on a pitch you take them down. Before the game, check that the nets are on properly and the corner flags are in place. For Mini Soccer, the Samba Goals and nets are kept in the compound and you must place them on the relevant pitch. First team on, put them out, last team on put them back in the compound.

 3. . Complete Match Card (No Cards required for U7/U8’s as non-competitive football) before game and make sure you show what type of game it is by crossing out League or Cup as necessary.

 4. Two Match Balls must be handed to the Referee before the start of the game. They cannot be balls that you have been training with before hand. They must be of the correct size, clean & inflated to the correct pressure.

 5. You must have a fully equipped First Aid Kit available at every match. (Home & Away)

6. Before the kick-off exchange Match Card and Team Registration Cards with the opposing Manager. You must have the match card and team cards of the other team for the duration of the match.

 7.   Mini Soccer League: After game get your match card and team cards back from other manager. Show goal scorers (including opposition scorers), substitutes played and sign your card and away side card.

 Junior League :  After game get your match card and team cards back from other manager. Show goal scorers, substitutes played and get opposing team manager to sign your card.

8 Pay Referee if required. (Referee’s, Game Leaders & any other match official fee’s are paid by the team & are not recoverable from the club) (Home & away matches)

9 Match Result Reporting:

Mini Soccer :League the Home and Away team must post the result on the Mini Soccer League website by 7pm on the Sunday night to avoid a fine, www.ourkidssports.com

Junior League: The Home team must phone or e-mail (as directed) the Divisional Secretary the result of the game by 5.30pm on Sunday to avoid a fine.

10. Match Cards

Ensure Match Result Card is fully completed

Mini Soccer the card must be delivered to Ray Cracknell by, at the very latest, the following Tuesday evening for checking, recording & safe delivery to the League;

 

Junior League Soccer, the card must be delivered to Brian Brazier by 9pm on the Sunday for checking, recording & safe delivery to the League.

 Away Game

1. Before Game check club list to see if change kit needs to be used. 

2. At game follow numbers 3, 5, 6, 7 and 10 as for home games.

After both types of Games

Complete record sheet showing - details of game, which boys played, number of goals scored by boys, which boys attended game (this is to keep a record of the number of appearances the boy makes for the club)

"Appearance " means:

a) Appearances in 7 and 11 aside organised games representing the Club. Games means: Pre- season friendlies, League Games and Cup Games.

b) Appearances in Tournaments to count as one appearance.

c) Players who attend matches who are unable to play due to an injury caused when representing the club.

d) If a player leaves the Club and then re joins at a later date his previous appearances to count.

e) At the end of the season details of each boys appearances to be given to the Secretary.

 NETS

The nets and corner flags for league matches are kept in the containers at the ground. and Samba Goals are kept in the compound and are to be returned there after last game - not left out.

All goal nets to be secured down.

The pitch allocation list will show you, which pitch you, will be playing on and the time for the kick off.

It is important to keep to the pitch and kick off time as they are worked out to cater for all the teams due to play.

If you book a pitch after the list has been printed it is important to check the list and:

a) If you are now first to use a pitch inform the manager who was 1st that he is now second you are now 'nets up' / ‘goals up’

b) If you are now last to use a pitch inform the manger who was last that you are now 'nets down' / ‘goals down’

 If you cancel a pitch after the list has been printed you will need to:

a) Inform Brian Brazier immediately.

b) If you were first to use a pitch inform the manager who was 2nd on the list that he is now 'nets up' / ‘goals up’

c) If you were last to use a pitch inform the manger who is playing before you that he is now 'nets down' / ‘goals down’

DISCIPLINE

Managers must make sure that all players in their squads fully understand that they are subject to the Rules, Regulations and punishments of the Football Association and the League.

 If the County FA suspends a player the suspension applies to ALL football matches including school ones and if a player plays in a game when suspended the club or school can be dealt with by the Football Association and the Player suspended ‘Sine Die’ (to a date sometime in the future).

 Discipline procedures

Where a member of the Club (Manager, Player or Parent/Guardian) is reported by a Match Official to the EssexCounty Football Association the following procedure will apply

 1. The manager of the team involved will inform the Secretary what has happened so that

   He/She is aware correspondence will be coming from the Essex County Football Association.

2. The Secretary or an officer of the Club will deal all correspondence and communications regarding discipline matters. Under no circumstances will a member of the Club contact the Football Association, the League or Match Official concerning a matter subject of a complaint.

3. On receipt of the paperwork the Secretary or Club Official will ensure that it is completed and submitted in accordance with the laid down procedure.  Any paperwork given out by the Secretary (Club Officer) for completion must be returned to him/her as soon as possible.

4. Each member of the Club shall be personally liable for any fines levied against them as a result of disciplinary action by Essex County Football Association, The League or any other body where members are bound by their rules.

5. The member who incurred the fine will refund the money paid by the Club to the Treasurer within 28 days of the penalty being paid.

6. If the money is not re-paid to the Treasurer by the end of 28 days the member will be suspended from the club until the money is repaid to the Club.

7. No player will be cleared for transfer to another club unless all outstanding fines incurred by him or his parent(s)/ guardian have been repaid to the Treasurer.

8. Member means Player, Parent/Guardian, Officer of the Club, Manager and Coach/Trainers

 Codes of Conduct

The Football Association has laid down a set of codes of conduct relating to the different groups within the football structure. These codes are available on the Club Website at www.ashingdonyouthfc.org.uk and all club members should make themselves aware of their contents and comply with the terms of them.

 Players transferring within the club

The transfer of players between club teams is treated the same under league rules as if it was to another club.

A player wishing to transfer during a current playing season from one team to another within the Club must first speak to his team manager to request permission. The team manager will contact the Secretary who will liaise with the two managers to ensure the league rules are complied with.

If there is any doubt about the validity of the transfer the Club Secretary only will seek guidance from the relevant league Registration Secretary and will inform both managers of the result of the consultation.

If the transfer can go ahead the Secretary will ensure the relevant paperwork is completed and the league rules complied with.
